Refunds, Full Terms & Conditions, Privacy

These are WMT’s terms and conditions of business and you are agreeing to them with respect to refunds, cancellations and such by making any payment to us. We aim to make these simple and transparent. Don’t make a payment if you do not agree to these terms. You are advised to read all these notes and print them for reference. Updated 28 October 2024.

Making a course booking can only be done via our online booking form and secure card payment facility. Amex and corporate credit cards not accepted. After making a booking check your email and spam folder for a confirmation email and receipt from wmt AT wildernessmedicaltraining.co.uk. Action: add WMT’s address to your address book / safe sender list.

Covid and personal cancellation & travel insurance

Delegates (even on UK courses) are advised to consider taking out personal cancellation insurance to cover any covid related reason if they have to cancel. One such policy with Campbell Irvine Direct Travel Insurance includes covers “cancellation due to either you or your insured travelling companion’s direct exposure to a contagious disease such as Coronavirus (COVID-19) etc”. It is YOUR responsibility to ensure that any insurance policy meets your needs and you take good care to study the fine print irrespective of any WMT recommendations. For overseas courses (France, Morocco, Norway) that involve mountain activities (high altitude trekking, skiing, ski touring, glacier trekking), specialised travel insurance is required.

If a participant tests covid positive while on a WMT course, event or expedition, they are obliged to withdraw from the course immediately. If the course involves communal accommodation, the participant must move out and into alternative accommodation at their own expense.

Two insurance companies to consider are SNOWCARD and BIG CAT. See below for more insurance advice and this WMT insurance article.

WMT’s cancellation policy regarding REFUNDS and balance payment schedule. 

If WMT cancels a course due to Covid, a full refund, less £25 will be given. If WMT cancels a course for other reasons a full refund will be given.

If you cancel at any time, for any reason, including Covid related, refunds will be made depending on how much notice you give WMT in writing:

Cancellation 61 days or more before a course start date: 50% refund.

Cancellation 60 days or less before a course start date: no refunds.

Balance payments are due 60 days before a course.

To book a course less than 60 days before the start date, the full fee is due to register and a deposit payment option is not be offered.

If you cannot attend for any reason (such as study leave declined or revoked) or have to leave a course early for any reason, including covid, or do not fully participate or miss any part of the course or do not avail of any services WMT provides for any reason you will not receive any part refunds, credit or deferment.

YOU SHOULD INSURE YOUR TRIP OR COURSE IN GOOD TIME TO MINIMISE ANY PERSONAL FINANCIAL LOSS (COURSE FEES, FLIGHTS BOOKED).

Tromso, Norway 2025 expedition terms and conditions are distinct from all other WMT events because of the specialised nature of the trip. A deposit payment of £500 is required to book a place. The trip needs 5 participants to make it viable. If we don’t reach that number and decide not to run the trip, all deposits will be refunded in full. If the client cancels for any reason AFTER WMT confirms the trip is going ahead, any payments made are not refundable, transferable, re-sellable (by the client) or deferable. Balance payments are due 1st February 2025. Clients are urged to have appropriate travel insurance in place as soon as the trip is confirmed to protect their funds should they cancel.

How WMT will communicate with you: all correspondence from WMT will be by email. Detailed pre-course notes, which include travel advice, timings etc, will be emailed to you when you make a booking or will follow on from your booking if that information is not yet available. Use of course images for marketing, WMT website and any other legitimate purpose

WMT takes photos and phone videos on its events. Participants agree that their images can be used freely and without restriction unless they expressly notify WMT in writing. WMT sets up Whatsapp groups for each event which delegates use to share their images and by doing so you (the delegate) are implicitly waiving any rights to these photos and you agree WMT can use them for marketing without restriction, credit or fee (and if you don’t agree, don’t post your photos).

Medics and study leave. Please don’t pay for a course if you are a medic and do not have leave approved as failure to obtain leave retrospectively is not considered grounds for WMT to consider any amendment to your booking including refunds or a deferment. See above for our refund policy.

Availability. If a course date is listed you can be sure there are places available on the course. As spaces become more limited, a counter will be displayed saying “x places left”.

Receipts are issued automatically by return email when a booking is made online and when any balance payment is made. Check spam.

VAT. UK based course fees include VAT at 20%. Our VAT number is 687 5995 47.

Overseas visitors & VAT: Regardless of where you live outside of the UK (including within the EEC) WMT must charge you VAT to attend any UK based course.

When a balance payment is coming due, WMT will email you a secure online payment link in good time. If you do not make a timely balance payment or contact WMT after we have sent you multiple reminders, your course place can be cancelled by WMT without warning and your funds will be forfeited.

Deferments may be allowed at WMT’s discretion and a charge and/or additional time-bound and other terms and conditions may still apply.

Substitutions and/or reselling of a WMT course place, if you can’t attend, is not permitted.

Under exceptional circumstances, including but not limited to government covid rule changes domestic and foreign, WMT reserves the right to cancel any course for whatever reason and return monies paid as above without further liability.

Course content and faculty are subject to confirmation or amendment at any time due to weather considerations, safety considerations, WMT’s discretion and the welfare of delegates and other factors outside of WMT’s control and this applies particularly to mountain activities including those that are snow dependant.

What course fees include: all course fees include notes, materials, sometimes refreshments and VAT in the UK (VAT not applied to Chamonix / Morocco / Norway events). Some courses include meals or full board and other services/activities.

To preserve the integrity of our training, WMT reserves the right to withhold a course certificate if a student, in WMT’s view, fails to attend any significant part of the course.

Insurance: we strongly advise that you have travel insurance in place if you have booked an oversees course or are travelling to the UK for a course in case you have to cancel or cannot attend for an insurable reason, such as bereavement or disruptions caused by Icelandic volcanoes, industrial action, earthquakes, snow storms etc! Be aware that “disinclination” to travel would most likely result in an insurance claim being rejected, especially if the WMT event /expedition went ahead and there was no UK government advice recommending AGAINST travel to a region/country. WMT will not be liable to refund your fee or allow a deferment if you are prevented from travelling to a course for any reason and this is a matter to take up with your insurers. Students on UK courses should also strongly consider cancellation insurance; Snowcard travel insurance covers UK “trips”, such as a WMT course,  if it includes one night of accommodation. Check that any insurance does not exclude “work” trips as some insurers consider attending a course as “work” especially if you’re getting study leave funding or are on paid leave to attend. The British Mountaineering Council only covers “recreational” travel, not WMT courses, except the Norway expedition because this is what they would describe as a “leisure or recreational” trip (not related to professional training like our doctor’s courses are). See this Oct. 2019 blog post about insurance. Don’t assume that your “free” credit card travel insurance will cover mountain activities, rescue and such.

Separate terms and conditions apply to private, bespoke course bookings.

Privacy & data protection. WMT is a registered Data Controller under the Data Protection Act 1998 and aims to comply with the 2018 General Data Protection Regulation (GDPR). When you make a course booking, you are required to add your email address and name to a course database held on a 3rd party server to which only two WMT staff have access. Receipts, pre and post course information is sent to your email address from our database server. We also adds your email address to our MailChimp marketing automation platform. Periodically WMT will email Newsletters and Medical Bulletins via MailChimp. You can opt out of the MailChimp list at any time and you will still receive important pre and post course emails specific to a course you have booked. WMT will never share or sell your data to anyone.

You are advised to print this page for your records as you are accepting and agree to be bound by them if you make a booking.

WMT reserves the right to amend these conditions at any time and they will apply to NEW bookings.
